About CertOf

CertOf™ Translation is a digital-first certified translation service built for immigration, study abroad, and other high-stakes official filings. We offer layout-preserving certified translations in just 5–10 minutes, often at a fraction of traditional agency pricing.

What CertOf™ means and what we do

The name “CertOf” comes from “Certificate of …”. We started with one very specific promise: the Certificate of Translation Accuracy attached to every certified translation we deliver. From there, our mission is to expand this idea into a broader, AI-powered “Certificate of Everything” framework that can help people and institutions trust critical documents with less friction.

Today, CertOf™ focuses on certified translation for official documents — especially immigration filings (USCIS), study-abroad and credential evaluations, UKVI/Home Office cases, and court or embassy-related records. Our goal is simple: make compliant, review-friendly certified translation as fast and predictable as ordering any other modern online service.

Built for immigration, study, and legal workflows

Most of our customers come to us with the same question: “Will this translation be accepted without causing delays?” Our products are designed around the official rules that govern translations for immigration and other regulated use cases — for example, the federal USCIS regulation at 8 CFR 103.2(b)(3), which requires a full English translation plus a clear certification of accuracy and translator competence.

How our AI + human translation workflow works

CertOf™ is not “just machine translation.” Instead, we combine large language models (LLMs), document-structure analysis, and human QA into a single, predictable workflow:

  1. Upload your document – Start from our translation portal at
    translation.certof.com.
We support common document and image formats including PDF, DOCX, PPTX, XLSX, JPG, PNG, and more.
  2. AI translation + layout reconstruction – Our system generates a high-precision translation and mirrors the original structure, tables, and visual cues wherever possible.
  3. Mirror Formatting – We apply Mirror Formatting so that officers and reviewers can compare the translation side-by-side with the original without guessing which field is which.
  4. Certification and online verification – We attach a Certificate of Translation Accuracy that clearly states the translation is complete and accurate and that the translator is competent in both languages. Each certificate includes a verification link and certificate ID so third parties can independently confirm authenticity online.
  5. Free preview first, pay later – For most use cases you can preview your certified translation online before paying. Once you are satisfied, you complete payment and download your final certified PDF (and, where applicable, convenience formats like DOCX).

This workflow lets you get a certified translation in 5–10 minutes in many cases, while still keeping compliance and review-friendliness as the highest priorities.

Guarantees, refunds, and accountability

We understand that immigration, visa, and legal filings often carry meaningful financial and emotional risk. That is why CertOf™ backs its services with clear, written guarantees instead of vague promises.

  • 30-day money-back guarantee – If your translation is formally rejected by a government agency, academic institution, court, or other official body due to our translation, or if there are critical factual errors or technical delivery failures, you may request a full refund within 30 days of payment.
  • “Beyond-Refund” compensation guarantee – In defined severe scenarios where a proven translation error directly causes your application to be rejected and you can document a financial loss (such as a lost visa application fee), we may compensate up to 10× the translation fee for standard users and up to 20× for Premium users.
  • Transparent Premium rules – Our Premium monthly plan includes a fixed page allowance, does not auto-renew, and has clearly-documented refund formulas so you always know what to expect.

Refund and Returns Policy.

Our mission: neutral third-party trust validator

From day one, we designed CertOf™ as a neutral third-party trust validator. In many immigration or legal scenarios, having a family member or interested party act as the translator can create credibility questions, even when technically allowed. Our solution provides a neutral, accountable layer between you and the decision-maker.

We believe AI — when combined with clear standards and human oversight — can improve:

  • Neutrality – Less personal bias and fewer conflicts of interest.
  • Transparency – A clear certificate statement, structured formatting, and verifiable certificate IDs.
  • Traceability – A consistent workflow that leaves less room for guesswork and undocumented edits.
  • Efficiency – Turnaround measured in minutes, not days, without sacrificing structure or detail.

Starting from the Certificate of Translation Accuracy, our long-term vision is to bring the same neutral, verifiable “Certificate of …” logic into other document-heavy workflows where trust and clarity matter just as much.

Our team and global presence

CertOf™ is led by a small but experienced international team of more than ten members, with a presence in Los Angeles, USA and Beijing, China. This allows us to blend Western regulatory perspectives with deep experience in East Asian documentation and cross-border communication.

Our co-founders include:

  • Xener – Co-Founder | AI Expert – An AI specialist with a background in large language models and large-scale system deployment, responsible for the architecture behind our translation and verification engine.
  • Erin Chen – Co-Founder | Translation Strategist – A multilingual communication and translation strategist with hands-on experience navigating immigration processes and editorial risk control. Erin leads our approach to USCIS-ready certification language, Mirror Formatting, and content standards across our educational resources.

Around them is a distributed team spanning engineering, product, and customer support — all focused on making certified translation both more reliable and more humane.
