NMC OSCE ID Check Documents: Originals, Police Clearances and Certified English Translations
Your NMC OSCE ID check documents form a chain: the records uploaded to your application must connect to the originals presented in person, and every non-English record must connect to a verifiable certified English translation. A certified copy that worked during document submission does not automatically replace a paper original at the face-to-face check.
This guide covers the UK-wide overseas route used by the Nursing and Midwifery Council (NMC). It concentrates on the document check associated with your first OSCE, not on clinical exam preparation, visa sponsorship or the entire registration process.
Key takeaways
- First-attempt appointment: your ID check is normally pre-booked with your OSCE. You do not make a separate appointment unless the NMC tells you otherwise.
- Physical originals: a paper-issued document normally requires its physical original. A scan, colour printout, notarised photocopy or certified copy is not a substitute at the face-to-face check.
- Different consequences: without a valid passport, you cannot sit the OSCE. If another required original is missing, the OSCE result may still be processed, but registration cannot reach its final stage until the ID check is completed.
- Three police-clearance tests: check residence duration, national rather than regional issuing level, and the issue date. A UK DBS does not erase the need for qualifying overseas certificates.
Who this guide is for
This UK-wide guide is for nurses, midwives and nursing associate applicants trained outside the UK who must complete an NMC overseas-route face-to-face ID check, usually during their first OSCE. It is also useful for NHS employers, international recruitment coordinators and family members helping an applicant organise records.
The typical packet contains a valid passport, nursing or midwifery diploma, overseas registration certificate or card, national police clearances, a UK DBS, AccessNI or Disclosure Scotland record where applicable, and marriage, divorce or other name-change evidence. Non-English items need certified English translations.
Documents may be in Arabic, Chinese, Polish, Portuguese, Romanian, Russian, Spanish, Ukrainian or another language. These are examples, not an NMC ranking of language demand. Many applicants trained in India, the Philippines, Nigeria and other English-document systems already hold English-language qualifications or registration records and should not order an unnecessary translation simply because the document was issued overseas.
Why the NMC document chain causes avoidable delays
The practical problem is that applicants encounter several versions of the same record at different stages:
- the document issued by a university, regulator, registry or police authority;
- the scan or certified copy supplied during the application;
- the physical original or printed official electronic record shown at the ID check; and
- a certified English translation if the source is not in English.
These versions serve different functions. A certified copy confirms that a copy corresponds to an original. A certified translation makes foreign-language content independently readable. The face-to-face check allows the NMC to examine the original source document. One layer does not replace another.
The NMC’s general supplying-documents guidance explains how copies and translations are certified and says applicants should not post irreplaceable originals to the NMC. Its separate overseas-route ID-check guidance requires original-format documents at the face-to-face check. Read the two instructions together rather than treating them as contradictory.
NMC OSCE ID check documents checklist
| Document group | What to prepare | Frequent failure point |
|---|---|---|
| Identity | Valid passport | An expired passport or copy cannot be used to enter the OSCE |
| Qualification | Original diploma or qualification certificate | The applicant brings the uploaded scan or a newly certified photocopy instead of the paper original |
| Professional registration | Original registration certificate or card, if previously registered overseas | A verification email or good-standing letter is assumed to replace a card without prior NMC confirmation |
| Name chain | Original marriage certificate, legal affidavit or other formal evidence where names differ | The passport spelling cannot be connected to the diploma, police certificate or registration record |
| Character evidence | Required national police clearances and the relevant UK check | Wrong country coverage, issuing level or issue date |
| Language | Original-language records paired with certified English translations | Only the translation is brought, or stamps and reverse-side text were omitted |
| Application status | Submitted application and registration fee paid as instructed in MyNMC | The candidate arrives while the application remains unsubmitted |
Use the list in your current MyNMC account and invitation as the controlling checklist for your case. An employer spreadsheet, old email or online discussion can help you identify questions, but it cannot amend your personalised NMC requirements.
Certified copy, paper original and electronic original
Paper-issued documents
If the issuing body originally produced a physical document, the NMC says it must see that physical original. This is where many otherwise organised applicants go wrong: certification confirms a copy, but it does not convert that copy into the issuing body’s original.
Keep the original and its translation together in a protective folder, but do not laminate, alter or detach pages merely to make the packet look cleaner. If the issuing authority already laminated the document, do not attempt to remove the laminate.
Officially issued electronic documents
For a document originally issued electronically, the NMC instructs applicants to print it and warns that further verification may be required. Preserve the complete downloaded file, issuing email, verification URL, QR code and any digital signature. A printout of an unofficial scan is not the same as a printout of an officially issued electronic record.
If your regulator does not issue a physical registration card, ask the NMC ID Verification Team what evidence it wants before travelling. Do not rely on another applicant’s solution: online registers, downloadable statements of entry and regulator-to-regulator confirmations vary by country.
For a broader explanation of digital delivery formats, see electronic certified translation: PDF vs Word vs paper. That comparison is useful for delivery, but it does not change the NMC’s original-document rule.
National police clearance: build a residence matrix first
Do not begin with your nationality. Begin with where you lived. The NMC requires a national police clearance for each country in which you lived for a combined period of at least 12 months during the 10 years before submitting your application, while aged 18 or over. Separate periods in the same country can add up to the threshold.
The certificate must be national or federal in scope. The NMC expressly says regional, state and provincial certificates are not accepted. A local or state police search should not be assumed to replace the required national certificate merely because it covers your last address.
| Situation | NMC requirement to check | Preparation action |
|---|---|---|
| Country where you live when submitting | National certificate dated within 12 months when the application is submitted | Order it close enough to submission and retain the original or official electronic file |
| Country you have left | Current ID-check webpage: national certificate issued within eight weeks before departure or after departure | Compare its issue date with your departure date and current MyNMC instruction |
| Multiple shorter stays | Combined residence may reach 12 months | Total the periods rather than examining each stay separately |
| England or Wales after three months in the UK | DBS | Follow the NMC application instruction rather than ordering an unrelated basic check |
| Northern Ireland after three months | AccessNI | Use the Northern Ireland route named by the NMC |
| Scotland after three months | PVG/Disclosure Scotland | Use the Scottish document requested for your application |
Important date ambiguity: the current NMC ID-check webpage uses an eight-weeks-before-departure-or-after formula for former countries. Some NMC checklist and booklet wording has instead referred to certificates issued close to or after departure. If your certificate was issued before departure, follow the instruction in your current MyNMC account and obtain written confirmation from [email protected] before relying on it.
A UK disclosure is additional evidence when the UK residence threshold applies; it does not replace qualifying clearances from India, the Philippines, Nigeria, Saudi Arabia, Australia or any other country in your residence history.
What an NMC certified English translation must show
The NMC uses both certified English translation and official English translation in its guidance. Its published supplying-documents page says a translation must come from a legally licensed and authorised translator. The translator must confirm in writing that it is an exact and direct translation from the original language into English and provide a full name, address, signature, contact details and stamp.
In practical terms, commission a packet that includes:
- the complete translated text, not a summary;
- the source and target languages;
- all visible stamps, seals, registration numbers, signatures, handwritten additions and reverse-side text;
- a clear accuracy statement connected to the named source document;
- the translator or certifying organisation’s full identifying and contact details;
- a signature and stamp consistent with the NMC’s published requirements; and
- page numbering that lets an ID officer match every translation page to its source.
The NMC’s ordinary published requirements do not make notarisation or apostille a default translation step. Add either only when the source-document chain or a separate receiving authority specifically requires it. For the distinction, use CertOf’s guide to certified versus notarized translation.
Self-translation and family translation are poor fits for this process because the NMC calls for a certified translator whose identity and details can be verified. A machine translation cannot sign the required statement or take responsibility for missing seals and uncertain handwriting.
For certificate wording, signatures and full-document treatment, see UK certified English translation format for identity documents.
Name mismatches: translate the difference rather than hiding it
A translator should not silently rewrite an overseas record to match the passport. That can make the translation look tidy while breaking the evidential trail.
Check every document for maiden and married surnames, patronymics, compound surnames, initials, reversed name order, omitted middle names and different Romanisation systems. Use the passport spelling consistently in explanatory translator notes where appropriate, but preserve what the source actually says. Bring the original marriage certificate, affidavit or other formal linking evidence requested by the NMC, with its certified English translation if necessary.
What happens if the ID check is incomplete?
The consequences depend on what is missing:
- No valid passport: NMC guidance says a valid passport is required each time you attend a Test of Competence centre; without it, you cannot sit the exam.
- Another original, clearance or translation is missing: the ID check cannot be completed. The NMC gives the candidate a follow-up sheet explaining the problem.
- OSCE result: it is still processed by the test centre and is normally visible through the NMC portal within five working days.
- Registration: even after an OSCE pass, the application cannot progress to the last registration stage until the ID check is complete.
- Follow-up: another in-person appointment is required, with the additional journey made at the applicant’s expense.
This is the article’s most counterintuitive point: passing the clinical examination does not cure an incomplete document check.
UK scheduling, travel and test-centre reality
The first-attempt ID check is normally conducted during the OSCE and is already arranged. A later ID check is different: it must be confirmed in advance by the NMC ID Verification Team. Do not attempt a walk-in visit.
The current NMC OSCE page lists University of Northampton, Ulster University and Leeds Teaching Hospitals NHS Trust as active providers. It also records the 2026 closures of Northumbria University and Oxford Brookes University and explains transfers for affected candidates. An applicant with an incomplete check linked to a closed centre should obtain a new confirmed location before booking travel.
The NMC does not publish a guaranteed follow-up appointment wait. The real cost is therefore not just a replacement certificate or translation: it can include tracked international delivery, another rail or air journey, accommodation and delayed progression to a PIN. Build the packet before booking non-refundable travel and use the fee displayed in MyNMC at submission, because registration fees can change.
What overseas applicants report—and how much weight to give it
Community accounts are useful for identifying questions, not for overriding current NMC rules:
- A discussion by an Australian-registered nurse on Reddit’s NursingUK community illustrates the problem of a regulator that does not issue a physical registration document. The useful lesson is to obtain case-specific NMC instructions before the OSCE, not to copy another user’s workaround.
- An older AllNurses forum discussion shows that applicants have long worried about bringing originals to the OSCE. Its age makes it unsuitable as a rule source, but the confusion is directly addressed by current NMC guidance.
- A Filipino nurse’s independent registration journey describes confusion between different police documents. The post is dated and personal, but it demonstrates why the exact national certificate required by the current process matters.
These accounts come from three different community formats, with Reddit accounting for one of the three. None establishes NMC acceptance, a standard waiting time or a right to an exception.
Why this document problem affects a large UK applicant group
The NMC’s latest registration statistics report 867,935 professionals on the register and state that internationally educated professionals made up 26.4% of new joiners in 2025–2026. That does not tell us how many translations were ordered or how many ID checks were incomplete. It does explain why original-document verification, overseas police records and multilingual evidence are routine regulatory operations rather than unusual exceptions.
Demand should not be confused with language need. Many international applicants hold records originally issued in English. Translate only the non-English documents required for your packet.
Commercial translation-provider options
The NMC does not publish an approved-provider list. Compare the provider’s actual certificate and document process against the NMC requirements rather than relying on an “NMC approved” marketing claim.
| Provider route | Verifiable signal | Suitable use | Boundary to check |
|---|---|---|---|
| CertOf online certified translation | Upload-based ordering, certified translation, formatting and revision support | Diplomas, registration cards, police certificates and civil records requiring certified English translation | Document translation only; no NMC appointment, police-clearance procurement or registration guarantee |
| AccuCert Ltd, Bixteth Street, Liverpool L3 9JR | ATC directory listing covers personal documents, medical and public-sector work | Applicants seeking a UK company with an independently checkable trade-association listing | The ATC listing does not establish NMC-specific approval; no telephone number is shown in that listing |
| Giraffe Translations, London; 020 8064 2284 | ATC-listed provider whose public entry identifies Middle Eastern language and personal-document work | Arabic, Farsi, Turkish, Dari, Pashto, Urdu and related document combinations | Confirm the exact NMC certification fields and full-document scope before ordering |
Applicants may also search the public registers maintained by the Institute of Translation and Interpreting, the Chartered Institute of Linguists and the Association of Translation Companies. The UK translation market is not regulated through one universal state-sworn translator licence, so professional membership is a useful verification signal but not an NMC acceptance guarantee.
Before purchasing, send the provider the NMC requirement or your MyNMC request and ask for a sample certification format. Compare the total scope, revisions, hard-copy handling and treatment of stamps—not only the headline price. CertOf’s related resources cover low-cost certified translation trade-offs and certified translations with mailed hard copies.
Official support, complaints and fraud routes
| Resource | Use it for | What it cannot do |
|---|---|---|
| NMC ID Verification Team | Electronic originals, unusual registration evidence, police-certificate ambiguity and follow-up appointments | It is not a translation company or travel-booking service |
| MyNMC | Your personalised tasks, application status, fee and messages | A third party should not control the account without authorised access |
| NMC corporate complaints process | Unresolved service or administrative problems after first raising them with the person handling the matter | It does not replace the statutory appeal route for a registration refusal |
The NMC complaints procedure says complaints should normally be made within 12 months. It publishes targets of acknowledging a complaint within two working days, trying to resolve it within five working days and responding to a full investigation within 20 working days, subject to notice if more time is required.
Be cautious if anyone claims that an extra payment can accelerate document verification, waive an original or secure a PIN. The NMC’s fraud warning says it will not telephone someone to request payment. Verify unexpected requests through official channels and never give payment or MyNMC credentials to an unverified caller.
Recruitment-agency charges are a separate issue. If an employer, recruiter or repayment clause is the problem, use the dedicated guide to UK overseas nurse recruitment fees and complaints. Applicants seeking a city-level overview can also consult the separate Bristol overseas nurse registration document guide.
Final pre-OSCE packet check
- Open MyNMC and compare every requested item with your folder.
- Confirm that the passport will remain valid on the OSCE date.
- Separate paper-issued originals from certified copies and ordinary printouts.
- Retain verification evidence for every officially issued electronic record.
- Build a country-by-country residence table and check police-certificate level and issue date.
- Pair each non-English source with its complete certified English translation.
- Compare every name, former name, date and document number across the packet.
- Email the NMC ID Verification Team before travelling if an original does not exist or official instructions appear inconsistent.
Frequently asked questions
Can I bring a certified copy of my nursing diploma?
Not instead of the original if the diploma was originally issued on paper. The NMC requires the physical original at the face-to-face ID check. Keep the certified copy used during submission, but bring the issuing body’s original as well.
Can I still sit the OSCE if another ID-check document is missing?
If you have the valid passport required to sit the examination, the OSCE and its result can remain separate from an incomplete ID check. However, the NMC cannot progress the application to the last registration stage until you complete a further in-person check.
Do I need police clearance from every country I visited?
No. The rule concerns countries where you lived for a combined 12 months or more during the 10 years before applying, while aged 18 or over. Visits do not automatically trigger a certificate, but several residence periods in one country can add up.
Will a state or provincial police certificate be accepted?
The NMC says regional, state and provincial certificates are not accepted for this requirement. Obtain the applicable national or federal certificate.
Does my UK DBS replace my overseas police clearance?
No. The relevant DBS, AccessNI or Disclosure Scotland document covers the UK requirement. You still need national clearances from other countries that meet the residence threshold.
Does an electronically issued police certificate count as an original?
Print the officially issued electronic document and retain its digital verification evidence. The NMC may require further checks. If the source or format is unusual, ask the ID Verification Team before the OSCE.
Must an NMC certified translation be notarised?
Notarisation is not listed as the default translation requirement. The published NMC standard focuses on an exact and direct English translation from an authorised translator, with the translator’s full identifying details, signature, contact information and stamp.
Where do I arrange a follow-up ID check?
Email [email protected]. A follow-up visit requires a confirmed appointment; do not travel to a test centre as a walk-in.
Prepare the translation without losing sight of the original
If your MyNMC packet contains non-English diplomas, registration records, police certificates or name-change documents, upload the complete source files to CertOf. Include every page, reverse side, stamp and any NMC request letter so the certified English translation can be prepared as a traceable document set.
CertOf can translate and certify the documents, preserve names and official markings, and support formatting revisions. It cannot issue police clearances, decide whether a printout is an original, book an ID check or guarantee NMC registration. Those decisions remain with the issuing bodies and the NMC.
